How to run your region and groups

Members · Groups · Scores · Tournaments · Ladders · Backups — everything an admin does, step by step.

1 · How it's organised

Groups are where people play — a Tuesday social, a ladies' morning, a club's regular evening. Each group has its own page, ladder, tournaments and court card, and its own admin room.

A region is the groups that belong together. Its ledger holds the members and creates the groups.

The register sits above every region. Each player has one rating across it, however many groups they play in.

Each level has its own code: the region's code opens the region's ledger, a group's code opens that group's room, and the register's code opens the Global Ledger. Your codes are in your welcome pack — keep them with the committee, and never post them anywhere public.

2 · Getting into admin

  1. Open your region's link (in your welcome pack).
  2. On the front door, under Everything else, tap Club admin.
  3. Choose the room: Ledger · your region for members and groups, or a group's room for its tournaments, matches and ladder. Enter that room's code.

The heading always tells you which room you're in, for example Ledger · Upper Highway Area.

A laptop is the admin's friend. On a wide screen the app opens in a two-column layout, with plenty of room to work.

3 · Members (in the region's ledger)

Add one member

Enter the name, gender and starting rating, then add. Defaults are Men 1500 and Ladies 1300 — see Ratings & levels for how to choose.

Add a whole club at once

Paste one member per line — Name, Gender, Rating — straight from a spreadsheet. Any line that can't be read is reported, so you fix just that line.

One name, one person

If the name already exists anywhere in the register, that is the person: the app says who they are and asks Welcome them here? One tap adds them to your region — with their rating and history intact. There are never two copies of one player. A genuinely different person needs a name that tells them apart.

Members get their group pill — the coloured tag beside their name — from the group of their first match. Someone added in the ledger shows still to play until then.

Don't rename a member who has played. Changing a name updates the member list, but not the matches already played under the old name — so the two would drift apart. Get the spelling right when you add someone; if a name must change, ask OPR to change it everywhere at once.
A member who has played can't be removed — their matches belong to their opponents' records too.

4 · Groups (in the region's ledger)

Create a group with its name, its colour and its code. It appears on the region's front door at once, with its own page, ladder, tournaments and court card.

Choose a colour that stands apart from your other groups — members find their group by colour. Give every group a code no other room uses.

Members choose which groups show on their own front door, and in what order. Nothing an admin sets is changed by that.

5 · Scores — entering and fixing

Members tap Enter a score, choose the group, pick the four players from the list, choose the event, enter the sets, and say who they are with their PIN. The match shows at the top of Recent matches straight away.

Duplicate guard: the button locks while it saves, and if the same four players were just entered, the app warns and names who entered it first. Cancel saves nothing.

Fixing or deleting a match

In the group's room, open Matches, open the match, and fix the score or event — or delete it. Ratings recalculate.

6 · Tournaments (in the group's room)

Internal or external

Internal — the full tournament engine: divisions (Men's, Ladies, Mixed, All Sorts), team caps, banded Swiss draws, standings, semi-finals and a final. External — a simple named event for away days and friendlies, tracked in the tournament statistics.

Create, enter, draw, play

  1. Open Tournaments, name it, choose Internal, tick the divisions and set each division's cap — even numbers, minimum 4.
  2. Enter each pair into its division. A pair's rating for the draw is fixed when it enters, so later moves don't reshuffle the draw.
  3. Generate the draw. Rounds are built from the results so far — competitive all the way through — then run the semi-finals and final.
  4. Players enter scores through Enter a score, choosing the tournament as the event. Each result files itself against the right fixture.
  5. When it's done, archive it. Its results are kept; it leaves the active event list.

7 · The ladder and the court card

Ladder: in the group's Ratings & ladders, open the Club Ladder, pick the category and activate it once to set the starting order. Members then play Ladder Matches; positions follow the challenge rules. Re-activating resets the order — use it deliberately.

Court card: on the group's page, tap Court card to set up tonight's courts. Players are balanced so every four is as close as it can be, and the night's scores go straight in.

8 · Backups

In the group's room, Matches → Full club backup downloads one date-stamped file with everything for that group: members and ratings, every match, the tournaments and the ladder.

Take one before anything big — a tournament, a large change — and monthly as routine. Store it somewhere safe.

9 · Quick troubleshooting

  • A code isn't accepted → check you're in the right room: the region's code for the ledger, a group's code for its room.
  • A player isn't in your list → add them in the region's ledger; if they're already in the register the app says so and welcomes them in.
  • Something looks out of date after an update → close and reopen the app (phone), or press Ctrl+F5 (computer).
  • A member forgot the PIN for their own page → ask OPR to release it; they then claim their page again with a new PIN.
  • "No active ladders" when entering a Ladder Match → activate the ladder first (section 7).
